Policy for yatra bookings, accommodation support, donations, failed payments, and duplicate transactions.

Cancellation & Refund Policy

This policy applies to payments and contributions made through RS Yatra, a digital initiative of Saranagati Foundation. Refund eligibility depends on the nature of the payment, the yatra or service stage, committed costs, and the specific cancellation rules communicated for the relevant yatra, event, or service.

Yatra and accommodation arrangements often involve advance commitments to venues, service providers, transport, food, and operational teams. Refunds are therefore handled with care and may not always be possible after a stated cutoff date or after costs have been committed.

1. Cancellation Requests

  • Cancellation requests must be sent to info@rsyatra.com from the registered email address where possible.
  • The request should include booking ID, payment reference, participant name, registered mobile/email, yatra or service name, and reason for cancellation.
  • A request is considered received only after it is successfully submitted to us with sufficient details for verification.

2. Yatra, Registration, And Accommodation Payments

  • Refund eligibility will depend on the cancellation cutoff, yatra-specific rules, accommodation status, and costs already committed.
  • If cancellation is made before the applicable cutoff and before major costs are committed, a full or partial refund may be approved after deducting applicable charges.
  • After the cutoff date, after check-in, after participation begins, or after accommodation/service costs are committed, refunds may be denied or limited.
  • No-show participants may not be eligible for refund unless the organizing team decides otherwise in exceptional circumstances.

3. Donations And Voluntary Contributions

  • Donations and voluntary contributions are generally non-refundable once successfully received and receipted.
  • Refunds may be considered for duplicate payments, clear transaction errors, failed payment reversals, or other exceptional cases at the discretion of Saranagati Foundation.
  • If a tax-related receipt has already been issued, refund processing may require cancellation/reversal of the receipt or additional compliance steps.

4. Failed, Pending, Or Duplicate Payments

  • If money is debited but the payment is marked failed or pending, the amount may be automatically reversed by the bank/payment gateway as per their timelines.
  • For duplicate successful payments, users should contact us with both transaction references. Verified duplicate payments may be refunded after reconciliation.
  • Bank, UPI, card network, and payment gateway delays are outside our direct control.

5. Deductions And Refund Method

  • Approved refunds may be subject to deduction of payment gateway charges, bank charges, administrative costs, committed accommodation/service costs, and any other non-recoverable expenses.
  • Refunds are generally processed to the original payment method where technically possible.
  • Once approved, refunds are normally initiated within 7 to 10 working days, but actual credit may take longer depending on banks, payment gateways, holidays, or compliance checks.

6. Cancellation Or Rescheduling By Organizers

  • If a yatra, event, or service is cancelled by the organizing team, users may be offered a refund, transfer, adjustment, or alternate arrangement depending on the situation.
  • If a program is rescheduled, the team may offer continuation in the revised schedule or other suitable options where feasible.

7. Force Majeure

  • Events beyond reasonable control may include natural disasters, severe weather, pandemics, health advisories, government restrictions, transport disruption, civil disturbance, venue closure, or other emergency situations.
  • In such cases, Saranagati Foundation and RS Yatra may reschedule, modify, restrict, or cancel services and provide suitable alternatives or refunds where feasible.

8. Final Decision

  • Refund decisions will be made after verification of payment status, booking status, applicable rules, and operational commitments.
  • The decision of Saranagati Foundation/authorized RS Yatra coordinators will be final, subject to applicable law.
